Centralized Scheduler

The Centralized Scheduler operates equipment including, but not limited to, the telephone system, computer, copier, and fax machine. Essential duties include providing excellent customer/patient services via phone and in person; referring callers to the appropriate department/employee; and making appointments for patients according to established clinic protocols. The position must exemplify the core values and mission of the organization, always exercising utmost discretion, diplomacy and tact in patient/staff interactions.

Job Responsibilities

  1. Performs day-to-day administrative functions and general office duties including but not limited to word processing, copying, filing, faxing, answering phones and data entry.
  2. Scheduling different types of appointments for 5 different clinics including Newborn, Well, Sick, ADD rechecks, etc.
  3. Cancels/reschedules appointments as needed to accommodate the providers and patients’ schedules.
  4. Provides information to clinic callers according to the clinic’s policies and procedures; transfer calls as needed.
  5. When scheduling appointment, screens patients for new address, insurance changes, new patient visit or update registration and informs patient of adequate information that must be presented at time of visit.
  6. Records credit card information as needed to process payment over the phone.
  7. Verify insurance for Medicaid clinics by logging on to various websites.
  8. When scheduling sick visits, ask appropriate questions to determine if it’s an emergency or if we need to schedule an appointment as soon as possible (determined by physician or nurse).
  9. If practitioner doesn’t have an opening, we contact the Office Manager to determine the available time to fit in a patient.
  10. If called by another physician or pharmacy, get information about the patient before sending the call to the appropriate nurse’s station for the physician.
  11. Adheres to all clinic policies on safety and security; maintains restricted areas by safeguarding keyless entry codes and computer system passwords.
  12. Must exercise utmost diplomacy and tact to provide excellent customer service for patients; practices confidentiality and privacy protocols in accordance to clinic policies and HIPAA requirements.
  13. Exercises problem-solving and conflict resolution skills when handling patient complaints; refers patient complaints to appropriate designated personnel as needed.
  14. Attends scheduled department/staff/clinical meetings as required.
  15. And other duties as assigned.

Qualifications

  1. Understands the importance of maintaining confidentiality under HIPAA standards.
  2. Must have the ability to exercise a high degree of diplomacy and tact; excellent customer service and interpersonal communication skills; cultural sensitivity and demonstrated ability to work with diverse people groups.
  3. Intermediate to advanced phone skills; able to effectively relate via the telephone and in person to serve the needs of patients/clients/visitors in a manner that is efficient and productive.
  4. Must be highly flexible; able to accommodate the changing needs of the department.
  5. Ability to work well under pressure with minimal supervision. Proven flexibility and willingness to handle a variety of tasks.
  6. Willingness to work evenings and/or weekends.
  7. Basic to intermediate computer knowledge and skills.
  8. Training and/or experience with computer data entry.

Education and Experience

  1. Graduation from high school or equivalent (must provide proof).

Front Desk Receptionist

The Front Staff performs a variety of tasks including, but not limited to, assist in various positions and perform a variety of clerical tasks including operating the telephone system, computer, copier, and fax machine. You may be the first point of contact to our patients via telephone or front desk. Essential duties include providing excellent customer/patient services via phone and in person; referring callers to the appropriate department/employee; making appointments for patients according to established clinic protocols; filing charts; assisting patients/clients with forms. Patient services are a key priority in this position requiring you to serve as a point of contact with other internal and external departments, all with the goal of fostering an environment which promotes patient comfort and trust. The position must exemplify the core values and mission of the organization, always exercising utmost discretion, diplomacy and tact in patient/staff interactions.

Job Responsibilities

  1. Performs day-to-day administrative functions and general office duties including but not limited to word processing, copying, filing, faxing, answering phones and data entry.
  2. Provides information to clinic callers according to the clinic’s policies and procedures; transfer calls as needed; works with central reception to ensure adequate phone coverage at all times.
  3. Welcomes and greets patients/clients/visitors to the clinic in a manner that is helpful and friendly; determines purpose of visit and directs patients/clients/visitors to appropriate person or department(s).
  4. Adheres to all clinic policies on safety and security; maintains restricted areas by safeguarding keyless entry codes and computer system passwords.
  5. Must exercise utmost diplomacy and tact to provide excellent customer service for patients; practices confidentiality and privacy protocols in accordance to clinic policies and HIPAA requirements.
  6. Maintains patient waiting areas, office files and front-desk areas in a manner that is organized and neat.
  7. Informs patient of any existing balance noted in computer and requests patient be prepared for any payment that may be due at time of visit.
  8. Calls patients daily to confirm next day’s appointment.
  9. Verifies method of payment for service (insurance, private pay, Medicaid, etc.) and collects data and/or payment as appropriate.
  10. Exercises problem-solving and conflict resolution skills when handling patient complaints; refers patient complaints to appropriate designated personnel as needed.
  11. Attends scheduled department/staff/clinical meetings as required.
  12. And other duties as assigned.

Qualifications

  7. Ability to work well under pressure with minimal supervision. Proven flexibility and willingness to handle a variety of tasks.
  8. Willingness to work evenings and/or weekends.
  9. Basic to intermediate computer knowledge and skills.
  10. Training and/or experience with computer data entry.

Education and Experience

  1. Graduation from high school or equivalent (must provide proof).
  2. Prior administrative or clerical experience in clinical or community-based setting highly preferred.
